STUDIO POLICIES

We understand things come up. Group classes may be canceled 12 hours before without penalty. Private appointments have a 24-hour cancellation policy. Any late cancellations will be charged the rate for the session.

Join the waitlist to be added when a spot becomes available. If you are added with less than 12 hours notice, you will be contacted and asked to confirm that you still want to join. Once accepted to the class (off the waitlist), the cancellation policy is in full effect.
You must be opted in to recieve texts and emails regarding waitlist places.
For safety, late arrivals more than 5 minutes will not be admitted to class and will be considered a late cancellation.

Must be accompanied by an adult at all times. Under 16 year-old minors must be accompanied by an adult and must have written permission to participate in class.

For safety, at the start of the second trimester you are invited to Pre-natal or Post-natal classes exclusively. Postpartum you are welcome in Prenatal or Postnatal classes once cleared for exercise by a doctor.

Barefoot please unless there is a medical reason, no grippy socks.

Turn on your notifications to receive reminders about your reservation.
Bring socks, a water bottle, and clothes to move in (no zippers).
Arrive 5 minutes before class / Leave your belongings at the front / Silence your phones.

TERMS & CONDITIONS

Violet Hour Pilates LLC offers both limited (set number of classes per month) and unlimited monthly memberships. All memberships require a 3-month minimum commitment and are billed on a recurring monthly basis.
1. Autopay & Billing Authorization
All memberships are billed monthly via automatic payment using the credit card on file through Mariana Tek (a secure payment system).
By purchasing a membership, you authorize Violet Hour Pilates Studio LLC to charge your card on file for:
Recurring membership fees
Late cancellation and no-show fees
Late payment fees
Any outstanding balances
Memberships will continue to renew automatically unless canceled in accordance with the Termination Policy below.
2. Membership Commitment
All memberships require a minimum 3-month commitment. Early termination requests prior to fulfillment of this commitment may not be honored or may be subject to additional charges at the studio’s discretion.
3. Pricing Changes
Violet Hour Pilates LLC reserves the right to modify membership pricing at any time. Clients will be notified in writing at least 4 weeks prior to any pricing changes.
4. Usage Policy
Limited Memberships:
Include a fixed number of classes per billing cycle
Classes must be used within the cycle in which they are issued
Unused classes expire at the end of each billing cycle and do not roll over
Classes are non-transferable
Unlimited Memberships:
Allow booking of classes subject to availability
Booking limits may be applied to ensure fair access
Memberships are non-transferable
5. Cancellation, Late Cancel & No-Show Policy
All classes must be canceled at least 12 hours prior to the scheduled start time
Limited Memberships:
Late cancellations and no-shows will result in forfeiture of the class credit
Unlimited Memberships:
Late cancellations and no-shows will incur a $25 fee per occurrence
Clients arriving after the start of class may be denied entry and will be treated as a late cancel
6. Waitlist Policy
Clients added to class from the waitlist are considered confirmed bookings and are subject to the cancellation policy. It is the client’s responsibility to remove themselves from the waitlist if they are unable to attend.
7. Failed Payments
A $10 late fee per day will be applied to failed payments after the first 24 hours
If payment is not successfully processed within 3 days:
All upcoming bookings may be canceled
The membership may be placed on hold
All outstanding balances must be resolved within 7 days, or the account may be subject to termination
8. Membership Freeze Policy
Members may request to temporarily suspend their membership under the following conditions:
Requests must be submitted in writing at least 14 days prior to the next billing date
Freeze periods must be requested in full-month increments
Minimum freeze: 1 month
Maximum freeze: 3 months per request
Memberships may be frozen up to 2 times per calendar year
A $20 administrative fee applies per freeze
Medical-related freezes may be considered with valid documentation and are subject to approval at the studio’s discretion.
9. Extensions
Extensions are not permitted except in the case of medical circumstances supported by official documentation and approved by the studio.
10. Termination Policy
To cancel a membership:
Written notice must be submitted at least 14 days prior to the next billing date
Requests must be sent via email to: 5th@violethourpilates.com
Additional terms:
Memberships will continue to renew until proper notice is received
Requests made with less than 14 days’ notice may result in one final charge
Clients retain access to classes for the remainder of any paid billing cycle
Immediate termination may be granted in cases of long-term injury or illness with written medical documentation.
11. Studio Policies & Rights
Class schedules, instructors, and services are subject to change without notice
Violet Hour Pilates Studio LLC reserves the right to refuse service or terminate memberships for inappropriate, unsafe, or disruptive behavior
Clients are expected to follow all studio guidelines and instructor directions
12. Personal Belongings
Violet Hour Pilates LLC is not responsible for lost, stolen, or damaged personal belongings.
13. General Policies
All sales are final
Memberships and services are non-refundable and non-transferable
Outdoor classes may be rescheduled due to weather or unforeseen circumstances
Workshops, events, community classes, and special programming are not included in memberships unless explicitly stated and are non-refundable
14. Liability Waiver & Assumption of Risk
By purchasing a membership and/or attending classes, you acknowledge and agree:
Pilates and fitness activities involve inherent risks, including but not limited to physical injury, muscle strain, falls, or other health complications
You are voluntarily participating and assume full responsibility for any risks, injuries, or damages
You confirm that you are physically capable of participating or have consulted a physician prior to participation
You agree to inform instructors of any injuries, medical conditions, or limitations prior to class
To the fullest extent permitted by law, you hereby release, waive, and hold harmless Violet Hour Pilates LLC, its owners, instructors, employees, and contractors from any and all claims, liabilities, damages, or expenses arising out of or related to participation in classes, use of equipment, or presence at the studio.
